Registration FAQ's

Please find answers to frequently asked questions around registration below! If you have a question that isn't answered below, please email registrations@specialolympics.org.nz

Medical declaration and/or background checks are coming up as expired on my excel entry form when I enter athlete and/or volunteer names, but they are up to date on Sporty. Why is this and what shall I do?

Please note that all data within the entry forms is accurate as of 10/04/25, and that any changes made after that date will not be automatically updated within the form. If you have submitted a new medical declaration or background check, then the expiration date stated in the form can be safely ignored. If you have registered a new athlete or volunteer, then the details of that athlete or volunteer will need to be entered manually. The eligibility of all athletes and volunteers will be determined according to their most current data at the closure of the registration period.

Where should I include details of reserve athletes?

We appreciate the comms piece asked that you did not include reserve athletes in the form, but after an internal discussion we would like these athletes included in your sport registration form.

Please enter your team reserves (currently non traveling athletes) in the sports registration form. All reserve athletes should be noted as such by including the word ‘Reserve’ in the NOTES section of the sports registration form. If a reserve athlete will be a member of a team, then their team name should also include the word ‘Reserve’ (eg. ‘Akl1 Reserve’).

Do we need to include reserve athletes on release form?

Yes please.

Where do I find our Unified Athletes and how do I enter them on the form?

Unified Partners already in our system will appear as you begin typing their name in the athlete section of the form.

If the person you're trying to enter doesn't appear in the list, please manually add their information.

How do we register a combined team? (e.g a team made up of different clubs?)

Each club is responsible for entering their own athletes on their respective forms. If you're combining with another club to form a team, please agree on a team name in advance. Both clubs must use the same team name on their forms so we can manually merge the teams. Please include the name of the club you're combining with in the NOTES section of the form.

Bocce – how do I enter an athlete into both team and pair events? There is only one event column.

For Bocce, we appreciate that there is only one event column on the entry form. If you are entering an athlete that is competing in both teams and pairs, please list the athlete twice on the form. We will ensure they are entered into both events.
